Rhumbix to Sage 300: The Full Data Flow Explained

Rhumbix does one thing really well: it captures accurate field time, crew assignments, and production data on the jobsite via mobile. Sage 300 Construction does something entirely different: it runs job costing, payroll accounting, and financials for your whole operation.

The problem is getting the data from one to the other without someone spending half their day copying it. Here’s exactly how PixisSync handles that flow.

Step 1: Sage 300 Data Flows to Rhumbix First

Before field crews can code time correctly in Rhumbix, they need to know what jobs and cost codes exist. PixisSync pulls this from Sage 300 and pushes it to Rhumbix:

  • Active jobs and project codes from Sage 300 appear in Rhumbix automatically
  • Cost code structures from Sage 300 become available in Rhumbix for field crews to select
  • Employee records from Sage 300 sync to Rhumbix so foremen see the right crew members

This means field crews are always coding time to real, active Sage 300 jobs — not guessing at codes or selecting stale entries.

Step 2: Field Crew Uses Rhumbix on the Jobsite

Foremen open Rhumbix on their phones or tablets. They select the job, assign crew members, pick cost codes, and record hours. Rhumbix handles the mobile UX, GPS validation, and approval workflow. PixisSync doesn’t touch this step — it just waits for the approved time.

Step 3: Approved Time Syncs to Sage 300

Once a foreman or supervisor approves time entries in Rhumbix, PixisSync picks them up and posts them to Sage 300:

  • Time entries post to the correct Sage 300 job, phase, and cost code
  • Employee pay classifications apply the right pay rates for regular time, overtime, and shift differentials
  • Equipment hours from Rhumbix post to Sage 300 equipment cost codes
  • Daily production quantities tie to Sage 300 job progress reporting if configured

Step 4: Payroll Runs from Sage 300 Data

With time already in Sage 300 job cost, payroll processing uses accurate data — no re-keying, no timesheet imports, no spreadsheet hand-off from the field. Your payroll team processes from what’s already in Sage.

How Often Does It Sync?

Most clients run the sync daily — typically overnight or at end of shift. Some run it on-demand for same-day job cost visibility. The frequency is configurable based on your workflow.
