The Challenge

This multi-division commercial HVAC contractor chose Acumatica as their ERP for its cloud-native architecture and strong job cost modules — but their field operations and dispatching run entirely in BuildOps. The gap between the two systems meant accounting staff spent hours each week pulling data out of BuildOps and manually entering it into Acumatica.With dozens of new jobs opening every week and invoices going out daily, the manual process introduced delays in AR aging, inconsistent job cost reporting across divisions, and the constant risk of a mis-keyed job number or invoice amount making it into the books. As the business grew, the problem scaled with it — more volume meant more manual work, not less.

What PixisSync Automates

PixisSync connects BuildOps to Acumatica and synchronizes the following data automatically:
  • Customers and locations — New accounts and service locations from BuildOps sync to Acumatica customers and project records, eliminating duplicate setup work
  • Projects and jobs — Work orders and jobs in BuildOps map to Acumatica projects with the correct billing type, revenue class, and cost code structure
  • AR invoices — Approved invoices in BuildOps generate corresponding AR invoices in Acumatica including line-item detail, tax codes, and project allocations
  • Payments and credits — Payments posted in Acumatica sync back to BuildOps so field coordinators and service managers see live AR status without asking accounting
  • Labor and job cost — Time entries and labor hours from BuildOps dispatch push to Acumatica project cost so job profitability is visible throughout the month, not just at close

The Result

Since deploying PixisSync, the accounting team has eliminated the daily import routine entirely. Invoices reach Acumatica within hours of being approved in BuildOps, and job cost data is current at any point in the month. Division managers can pull an Acumatica job cost report mid-month and trust the numbers — something that wasn’t possible when data was always 2–3 days behind.Month-end close time dropped significantly. Reconciling BuildOps and Acumatica used to take two days of accounting time; it now takes a few hours of review rather than re-entry. That time has been redirected toward financial analysis and collections follow-up.
